Commercial Solar Grants ("we", "us", "our") is the data controller for personal data you provide on this site. This policy explains what data we collect, why, how long we keep it, and your rights under UK GDPR and the Data Protection Act 2018.

What data we collect

Contact details — name, email, phone, company. Submitted via our quote, contact and newsletter forms.
Site information — postcode, sector, energy spend, roof size. Submitted via the funding review form.
Technical data — IP address, browser type, pages viewed. Collected by our hosting provider (Netlify) for security and performance.
Cookies — strictly necessary cookies only by default. We do not run third-party advertising or tracking cookies without explicit consent.

Why we collect it (legal basis)

Legitimate interest — to respond to enquiries, prepare grant scoping reports, and improve our service.
Contract — to deliver paid services to clients.
Legal obligation — for accounting and tax records.
Consent — if you opt into marketing emails.

Who we share data with

We do not sell or rent personal data. We share data only with:

Formspree — our forms-handling provider, which forwards form submissions to us.
Netlify — our hosting provider.
Google Workspace — for email and document storage.
HubSpot CRM — for client relationship management.
HMRC, funders and our legal/accounting advisers — only where required for service delivery or by law.

All processors are bound by UK GDPR-compliant data processing agreements. Data is stored in UK or EU data centres.

How long we keep data

Enquiry data (no service relationship): 2 years from last contact.
Client data: 7 years after end of engagement (statutory accounting period).
Marketing-consent data: until you withdraw consent.

Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict, port, or object to processing of your personal data, and to withdraw consent at any time. Send any request to funding@commercialsolargrants.co.uk. We respond within 30 days.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or 0303 123 1113.

Cookies

We use strictly-necessary cookies only by default — these maintain your session and are exempt from consent under PECR. We do not run advertising trackers, third-party analytics or remarketing pixels. If we add analytics in future, we will publish an updated policy and ask for consent.

We may update this policy. The "last updated" date at the top reflects the latest revision.
